REGISTRATION
Troopers Travel and Tours requires a USD non-refundable deposit per participant at the time of booking.
All bookings are made on a first-come first-served basis. All Participants are required to sign the Booking Form and the Terms & Conditions or complete the online booking form accepting these Terms and Conditions. Troopers Travel and Tours reserves the right to decline any booking at their discretion.
TOUR CHANGES
As Tour arrangements are made many months in advance, it is possible that minor changes to the itinerary might be necessary. These changes will be updated, and a new detailed itinerary sent to the email on file.
Double Occupancy Policy
Those electing to register for double occupancy are receiving a discount in exchange for sharing a room with a roommate each night of the trip. If a roommate does not materialize for you, you will be required to upgrade to single occupancy thirty days ahead of arrival day.
Cancellation Policy
Unless otherwise specified below, all funds paid towards participation in a tour are nonrefundable. If you would like to protect your deposit and balance as well as other travel plans, please consider trip interruption and travel insurance through your credit card or a third party. Troopers Travel and Tours is not responsible for a participant’s inability to attend a tour due to any circumstance whether it be health, family, or environmental.
If a tour is canceled by Troopers Travel and Tours ahead of departure due to a lack of participation, all deposits and balance payments are 100% transferable and refundable. If the Tour is cancelled, Troopers Travels and Tours will not be liable for additional costs or losses incurred by Participant(s) due to the cancellation of the Tour. This includes, but is not limited to, the cost of prepaid airline tickets, hotel reservations or car rental costs.
Cancellations initiated by the participant received in writing to trooper@trooperstravels.com with more than 60 days’ notice before the tour start date will receive all funds paid as a credit to be used towards future tours or services with Troopers Travel and Tours. This credit expires twelve months after the date on which the credit is issued and becomes nontransferable once applied.
Cancellations initiated by the participant received in writing to trooper@trooperstravels.com with 60 or less days’ notice before the tour start date will forfeit their deposit as a cancellation fee. Any funds paid above and beyond the deposit amount will be held on file as a credit to be used towards future tours and services with Troopers Travel and Tours. This credit expires twelve months after the date on which the credit is issued and becomes nontransferable once applied.
Cancellations initiated by the participant received in writing to trooper@trooperstravels.com with 30 or less days’ notice before the tour’s start date will invoke the forfeiture of all funds paid as a cancellation fee.
Troopers Travel and Tours reserves the right to cancel a participant’s participation at any time during a tour if the participant is disruptive, violates the terms and conditions or are putting themselves or others in harm’s way. No refund or credit will be issued.
TOUR PRICE
Your Tour Price includes all services as listed on the “What’s Included” on the home page of the tours. Anything not listed as included is excluded.
YOUR MOTORCYCLE
Participants providing their own motorcycle are required to ensure that their motorcycle is in road legal condition, has valid insurance, and the rider possesses a valid current Divers License with MC endorsement. Participants are responsible for their own motorcycle, its use and conformity to local laws and regulations. Participants are required to ride their motorcycle in accordance with local laws and regulations. Any motorcycle accident involving a Participant will never be the Troopers Travel and Tours’ responsibility.
Should a motorcycle suffer a mechanical failure or accidental damage, whether caused by the Participant, other Participants or an unrelated third party, it is not the responsibility of Troopers Travel and Tours.
Troopers Travel and Tours is not liable for any direct or indirect costs incurred because of any mechanical failure or accidental damage to your motorcycle.
PHOTOGRAPHY
The Participant(s) must be aware that we may take photographs, videos, and films of the Participant(s) whilst on the tour, of which we reserve the right to use such material for any advertising, brochures and video production, and other marketing uses (including footage for television) without obtaining further consent. If the Participant sends, shares, or gives the Troopers Travel and Tours photographs through any means including but not limited to Facebook and Twitter the Participant is also granting the Troopers Travel and Tours the right to use such material for any advertising, brochures and video production, and other marketing uses (including footage for television) without obtaining further consent.
WEATHER CONDITIONS
Troopers Travel and Tours strives to schedule its tours at a time of the year when the weather in the touring area is typically pleasant for motorcycling. Many tours pass through areas where weather conditions can change very rapidly. Troopers Travel and Tours cannot be held liable for unpleasant and unsuitable weather conditions, and no refunds shall be granted for such conditions. We will ride rain or shine, unless severe weather is eminent in the areas being traversed. Temperatures in the summer months can get very high. It is important for participants to maintain high levels of hydration during these months as well as curtailing any excessive activities that reduce hydration. Extra water will be provided by Troopers travels and Tours during these months at stops during the tour.
HOTELS & BREAKFAST & PARKING
The hotels we use are booked based on availability and the exact properties will not be released until confirmed. Tour hotels are typically 2-to-3-star motorcycle-friendly properties or in some cases exclusive to motorcycles.
If Breakfast is not included with the overnight location, the first stop will be breakfast unless it is a camping overnight. For Camping tours, raw food is provided for participants to cook themselves.
Parking is usually open at many of the overnight locations. A separate locking device is highly recommended to ensure bikes remain safe overnight.
MEALS
The provided meals do NOT include alcohol. Any alcohol participants may want to consume is strictly the responsibility of the participant. No alcohol is to be consumed during the riding day, except for planned stops at breweries or wineries. During these stops one alcoholic beverage is the limit, including samples. Lunch and dinner are provided with the tour as a budgeted item, this is to allow the most flexibility in participants eating what they want. Any meals that go over the budget are the responsibility of the participant.
Weapons and Dugs
Absolutely no firearms or illicit drugs are permitted on the tour. Violators will be asked to leave the tour and no refunds will be offered or entitled to by the participant.
